No … Student phone numbers are never requested by FieldTripMe™ (FTM) and there’s never a need for teachers to provide their phone numbers to students. Connections between students and teachers within the FTM app: (a) are achieved simply by logging in to the app using the usernames and trip codes provided by the teacher; and (b) exist strictly for the duration of the trip.

Yes … Location visibility is an option and is strictly limited to the duration of the trip. When setting-up a trip, teachers have the following map view options – which are then dependent upon parental consent and device permissions: (a) Leaders can see all participants or no participants; (b) Students can see themself and all leaders or all participants.

No … Messages and Alerts can be sent strictly between teachers and students – and strictly for the duration of the trip.

Yes … FieldTripMe™ is designed with student privacy and data security as a top priority. Information is only accessible to authorized teachers, parents and guardians.

Teachers & Administrators

After logging in to FieldTripMe™ (FTM), select Classes from the main menu and click New Class. You can create a class in one of two ways: (1) Manual entry, adding students one at a time. (2) Excel upload, using FTM’s provided template … In either case, you’ll need each student’s name, date of birth and at least one parent or guardian email address.

Yes … FTM provides a downloadable Excel template. Populate it with student names, dates of birth and parent/guardian emails, then upload it when creating a new class. But note – only include the required columns and plain text, as extra formatting or columns may prevent the file from uploading correctly.

Yes, but only until the class is involved in the payment of a trip. Once a class is associated with a trip that has payment processing, you can no longer add students to that class. If additional students join, you’ll need to create a new, separate class for those students and add it to the appropriate trip(s).

Yes … If another teacher assists you or is taking over your class, if your class will be participating in another teacher’s field trip – or for other reasons, you can download a class as an Excel file and share it with another teacher. They can then upload it to create a new class within their own account.

Once your class is created, use Email Registration Invite to send parents or guardians a registration link. This is a one-time registration that’s required before students can use the FTM app on trip day. Alternatively, you can wait until you’re ready to send the FTM email that announces your first field trip. Upon following the link in that email that leads to your trip’s sign-up page (or “Parent” page), parents will be required to login or register.

Yes … On the Classes page, the Register Status column shows whether each parent or guardian has completed all required fields within their student’s profile. Then on the Trips page, the Register Status column is joined by a: (1) Trip Status column that shows whether each parent or guardian has completed all required forms and made payment for your trips. (2) Tracking Consent column that shows whether each parent or guardian has consented to their student’s location being visible to you, strictly for the duration of the trip, within the FTM app – if you chose this Map View Option when setting-up your trip.

Select Trips from the main menu and click New Trip. You can build a trip: (1) Manually (strongly recommended when creating a trip from scratch); or (1) From an Excel file of an existing trip to use as a starting point … You can save your progress and return anytime before trip day.

A trip’s set-up includes the following information – but you don’t need it all at once, as FTM lets you save your work and continue later:

  • Destinations and transportation
  • Participating classes and co-leaders

Yes … Another teacher whose class is participating in your trip can download their class directly from FTM as an Excel file and share that file with you. You then create a new class by uploading that file in FTM.

As of January 2026, a small fee of $3.00 is charged for each student to use the FTM app on trip day. When setting-up each trip, you can choose to: (a) pay this fee yourself – in total, for all participating students; or (b) pass this cost along to each student’s parents/guardians for them to pay as part of the trip’s other costs.

Yes … Each trip’s set-up includes an Expense & Authorization section that allows you to log your trip expenses and request and record authorizations from your administrators or others.

When setting-up your Teacher account, you provide us with payment methods to reimburse you or your school/district. As we receive payments from parents/guardians in the lead-up to your trip, we issue payments back to you – at mid-month and end of month – for the totals received during that period (we notify you via email when each payment is processed). These payments make note of your name and the name of the trip being funded, though – if we’re sending the payments to someone other than you – it helps to make sure the appropriate parties are expecting them!

Parents & Guardians

Creating an account in FieldTripMe™ (FTM) is easy … If you’ve arrived via a link within a registration email from your student’s teacher, simply choose a username and password – your email is already recognized. If registering on your own, you just have the additional step of entering the email address you typically use with your student’s school.

After logging in, go to your Family page. This is where you’ll complete your student’s profile, including information that helps keep them safe and supported during trips … If a required field doesn’t apply, simply type “None” to let us know that you’ve addressed it.

Complete the first student’s profile in full (the “first” student is the one that appears as the first tab on your Family page). Then – for additional students – you can use “Copy Student #1 Info” in most sections to avoid making duplicate entries.

No difference … This simply represents the order in which your student’s teacher entered the info when setting-up their class. Though Parent/Guardian #1’s complete info is required, both parents/guardians can have their own separate FTM accounts – each with the same level of access and each intended to receive any/all FTM notifications from the teacher.

You can access a trip’s sign-up or “Parent” page using links in two different locations: (1) In the trip announcement email from FTM that was sent by the teacher. (2) On your family’s Field Trips page.

You’ll complete digital permission forms and submit payment directly through the platform.

Students download the FTM app in advance, but they can only log in within one hour of the trip’s start time, using their username and trip code – both provided by the teacher.
